Role Description

We are seeking a detail-oriented Order Processing Assistant to support our Sales Operations team. This role reports to the Head of Revenue & Sales Operations (HRSO) and is responsible for ensuring accuracy and integrity across sales deal data, contracts, and invoicing processes.

The ideal candidate is highly organized, communicates well, is process-driven, and comfortable working within sales and contract management systems.

This is a temporary, part-time role.

Location

This is a hybrid role based at our headquarters in Sacramento, California, with in-office attendance expected Tuesday through Thursday.

Responsibilities

  • Order Processing & Deal Governance
    + Audit and verify that all signed contracts are properly attached within HubSpot andaligned with corresponding deals

    + Ensure consistency between contract terms and product data (Product Org Adminrecords) partnering cross-functionally to identify and resolve data discrepancies
  • Invoicing & Payment Management
    + Ensure product invoices are generated accurately and in a timely manner

    + Track invoice progress and maintain visibility into payment status

    + Follow up internally with deal stakeholders (and externally with customers, if directed) tosupport timely payment collection
  • Operational Effectiveness
    + Provide regular updates on audit progress across Deals, Contracts, and Product OrgAdmin records

    + Identify and recommend process improvements to streamline deal governance and invoicing workflows

Requirements

  • Experience in order processing, contract auditing or a related role
  • Experience with common CRM sales tools (HubSpot preferred but not required) and contract platforms (DocuSign, PandaDoc, Adobe, etc.)
  • Strong attention to detail with the ability to audit data across systems

Compensation & Terms

  • $20/hour at 20 hours per week
  • This is a temporary role with an initial duration through the end of 2026; as the business grows and operational needs evolve, there may be opportunities to expand responsibilities or extend employment. 
  • Computer hardware, office snacks & drinks provided. Participation in Relish lunch service (in-office) 3x a week included. 
  • Not eligible for Medical, Dental, Vision benefits or Paid Vacation/Sick.
